Adult Terms & Conditions
1. STUDENT REGISTRATION
All courses must be booked in advance and, where appropriate, can start on any Monday. Berlitz Manchester reserves the right to cancel or change the course programme without prior notice. You should send your application and a photocopy of your passport at least four weeks in advance of your arrival.
2. BOOKING CONFIRMATION & PAYMENT
- On receipt of an enrolment Berlitz Manchester will send an invoice and offer letter. A booking confirmation will be issued, once booking deposit (25%) and all other documentation relating to the booking, has been received.
- For all adult courses there is a Registration fee of 100€.
- On enrolment a credit card authorization must be provided as deposit to cover any loss or damage to the school or accommodation incurred by the student. The amount will be debited automatically from the credit card provided after student’s departure.
- The balance must be paid four weeks before the starting date, otherwise Berlitz Manchester reserves the right to cancel, without notice, the course, accommodation and all other services. All bank charges in the country of origin and in England are to be paid in remittance by the applicant.
- Failure to pay the invoiced fees may delay the provision of the course, accommodation and other services and the crediting of commission.
- Berlitz Manchester reserves the right to charge 1% per month on the unpaid amount of the fees due with effect from four weeks before the date of course commencement.
- Where a student has commenced a course and is repatriated for offences against Berlitz Manchester and/or Civil Law, all costs will be borne by the student.
- If at any time Berlitz Manchester is unable to provide the course for which a client has been enrolled, an alternative course of a similar or higher specification will be provided, if available, at no additional cost.
- Berlitz Manchester reserves the right to make an administrative charge for each change requested less than 2 weeks prior to course commencement.
- Berlitz Manchester reserves the right to cancel or withhold confirmation of a booking or to withdraw educational and accommodation facilities after course commencement, at its discretion, if at any time incorrect information is supplied by or on behalf of the client, fees due to Berlitz Manchester from the client have not been received, or if such action is otherwise deemed necessary in the interests of the client or Berlitz Manchester.
- AAny documents sent by courier, as per agent request, will have an extra charge of 85€.
- A receipt or other evidence of payment must be produced by the client for inspection by the British Immigration Authorities on entry into the United Kingdom, and to the school on the first day of the course.
3. VISA
- Most students outside of the EU require a student visa. After we receive your deposit, we will issue a visa support letter so you can arrange your student visa. Please note this can take over a month to complete. Please make sure your course start date allows time to arrange the visa.
- Where a client needs a visa for entry to United Kingdom, he or she must pay a deposit of 50% as specified in the current Brochure and Conditions (deductible when the fees are paid in full), or the full amount of the fees due, before Berlitz Manchester can process the enrolment and produce the confirmation documents required for the visa application. Should an application for a visa be refused, the student will be entitled to a refund of the deposit and any fees paid (after deduction of an administration charge of 95€) on receipt of a copy of the letter of refusal from the British Embassy prior to course commencement.
- A scanned copy of the visa should be emailed to Berlitz Manchester to enable us to check that it is correct. Berlitz Manchester cannot be held responsible for any errors made during the visa application process.
- We will charge 65€ if we need to re-issue any documents, such as confirming a different start date.
4. CANCELLATION
If you decide to cancel your course/homestay/airport transfer, repayments will be made as follows:
- Up to three months before: Full amount minus 95€ administration charge.
- Up to one month before: 50%
- Up to one week before: No refund
- The registration and accommodation booking fees will not be refunded.
Please also refer to point number 5 “refunds”.
5. REFUNDS
- Tuition fees will not be refunded once a course has started.
- In cases where a student’s leave to remain in the UK has been granted by the Home Office or British Consulate on the basis of his/her studies at this college, no refund of fees is possible, unless his/her termination of studies is approved by the Home Office or British Consulate, in writing, and this written evidence submitted to our office.
- When the Conditions of enrolment relating to Cancellation or Curtailment have been met and a refund is due from Berlitz Manchester, after deduction of any fees payable in lieu of notice.
- No refunds will be given for late arrivals and/or early departures for any reason or for late cancellation of accommodation or other absences. You are recommended to take insurance to cover this.
- The Registration and Accommodation booking fees are separate from the tuition fee and are not refundable.
6. POSTPONEMENT & AMENDMENTS
You may postpone your start date but you must give the centre two weeks’ notice. If you do not, a postponement administration fee of 65€ will be charged. If you postpone more than once, then a further administration fee of 95€ will be charged. Any changes needed after sending in your application will be charged at 65€ for each new document.
7. CHANGE OF COURSE
- When a client’s course is changed to a course of a lower specification, any refund due in accordance with the Berlitz Manchester Conditions or enrolment is made in the form of a credit towards any required extension of the amended course or towards any Berlitz Manchester course in England during the twelve months following the end of the amended course. The credit is not transferable to another client, and no cash refund can be given.
- A credit voucher is issued by Berlitz Manchester to the client (subject to deduction of any fees payable in lieu of notice). The fees as originally invoiced remain payable to Berlitz Manchester, and no credit voucher can be issued to the client until they have been received. The client may subsequently redeem the credit voucher by extending the amended course or enrolling for a further course within twelve months.
8. EXTENSION OF A COURSE
It is usually possible to extend a client’s course provided that there is a place available. The client should inform Berlitz Manchester by letter, fax or email as early as possible, specifying the course number and the dates of the extension.
9. HOLIDAYS
Students studying on a course of 12 weeks or more can take a planned period of absence. Students must give one week’s notice and take a minimum of one full week. Only full weeks can be taken. There is a maximum of 4 weeks in 1 year. (1 week per 12-week period)
10. INSURANCE
Students are responsible for arranging their own insurance and are strongly advised to do so. Students in homestay MUST have insurance. We can arrange insurance for you, please refer to the pricelist on our website.
11. ATTENDANCE
Students have to attend 80% of their course as part of the UK visa requirements, if applicable. The school is duty bound to inform the Home Office of persistent non-attendance and can ask you to leave the school if poor attendance continues.
12. ONE-TO-ONE LESSONS
Students with one-to-one lessons need to give 24 hours’ notice of cancellation. Students will be charged for non-attendance if 24 hours’ notice isn’t given.
13. BOOKS
Course books can be purchased at 20 up to 100 € per level of study. You can also borrow a book for the length of your course at a charge of. You will receive this money back as long as the book is still in good condition. Special terms apply for sponsored students. Please contact administration for details.
14. CLASS SIZE
A minimum of 4 students is needed for a new class to open or continue. Classes below 4 students may continue, but with a reduction in the number of units taught. The maximum class size is 12 students.

16. PUBLIC HOLIDAYS 2014
Christmas Holidays from 23st December 2013. School reopens from Christmas Holidays on 6th of January 2014.
Good Friday 18th April, Easter Monday 21st April, early May Bank Holiday 5th May, Spring Bank Holiday 26th May, Summer Bank Holiday 25th August. No refund is made for classes scheduled to take place on these days.
Christmas Holidays 2014 from 22nd December 2014.
17. STUDENT MISCONDUCT
The school has a behaviour policy. You must pay for any damage you cause to the school or homestay and its contents. The school reserves the right to cancel a student’s course in the case of serious misconduct. Refunds will be at the discretion of the school.
18. LIABILITY
Berlitz Manchester does not accept responsibility for the loss or theft of personal items from its premises.
19. If the student is under 16 (1:1 classes only)
The person in charge of students under 16 will have to sign the application form and accept the points listed below:
- The child will stay with a family member or close friend (the guardian) for the duration of the course.
- The guardian is responsible for the child outside of scheduled activities and class times
- The child can be treated in an emergency and a doctor has permission to carry out an emergency operation if required.
- The guardian will pay the doctor’s/hospital bills for any treatment given.
20. DATA PROTECTION
Any personal data that you supply to Berlitz Manchester will be held and processed only for the purpose for which it is supplied. We ensure that all personal data is captured, held and processed in accordance with the Data Protection Act 1998.
The information you supply will be divulged to third parties only within the provisions of the Data Protection Act.
21. PROMOTIONAL VIDEO & PHOTOGRAPH
The Company’s website, brochures and other publicity materials are the responsibility of Berlitz Manchester and the details are published in good faith as of August 2013. For promotional purposes we will take photographs and videos during our courses or social activities which may be used in brochures or other publicity materials. Please advise at the time of booking if you do not wish to appear in any promotional material.
Junior Terms & Conditions
1. Bookings
All bookings submitted to Choices International / Berlitz are only accepted on receipt of written confirmation from Choices International / Berlitz or its authorised representative. Choices International / Berlitz shall be entitled to invoice for course fees at any time after the acceptance of the booking. A 50% deposit + registration fee (100€) are due at the time of booking. Payment in full must be received on May 30th 2014 at the latest. Bookings after May 30th 2014 must be paid in full at the time of booking. All payments must be in euros. All bank charges in the country of origin and in Spain are to be paid in remittance by the applicant. Choices International / Berlitz must be notified of all arrival and departure details at least 20 days before the start of the course.

2. Cancellations
All cancellations must be made in writing and will be confirmed in writing by Berlitz Manchester. Cancellations are subject to the following charges:
- Up to three months before: Full amount minus 90€ administration charge.
- Up to one month before: 50%
- Up to one week before: No refund
- The registration and accommodation booking fees will not be refunded.
Once the course has started fees are non-refundable. A student who fails to attend any part of his/her course due to illness or any other reason whatsoever, whether within or outside the student’s control, shall not be entitled to a refund of any fees paid, nor to attend any classes in place of those missed.
3. Conditions
All course places will be confirmed when either the deposit or full fees have been received. Payment of the deposit fee is regarded as acceptance of the booking terms & conditions and is non-refundable.
4. Acceptance Conditions
We accept students on the assumption that they are of sound health.
5. Visas
Where applicable, Choices International / Berlitz will provide all necessary documentation to enable students to secure their visas for the programme. However, Choices International / Berlitz can only provide such visa service on receipt of payment in full. Should a student be unsuccessful in their visa application, all fees apart from the administration charge will be refunded upon receipt of a copy of the Visa refusal letter. Express courier cost: 80€.
6. Liability and Insurance
Our insurance policy covers the following areas:
• Medical coverage
• Personal accident, baggage, clothes & personal effects
• Travel delay
Cancellation Insurance will apply ONLY once the course has started, under FORCE MAJEURE and it is regulated by the Cancellation Insurance Policy.
Choices International / Berlitz will not be liable for loss, damage, illness or injury to persons or property however caused, except where such liability is expressly imposed beyond exclusion by statute. We highly recommend taking out personal insurance against all such risks, including inability to attend or continue a course and insurance for the payment of medical expenses.
7. Behaviour
Choices International / Berlitz reserves the right to refuse or exclude any person at any time prior to or during the operational dates of the centre if in the opinion of Choices International / Berlitz, that person is incompatible with the general well-being and safe running of the centre. In this instance no refund will be given and any costs incurred, including any damage, will be passed on to the student or their parents or guardians, who will also be held responsible for any repatriation costs. On arrival residential students will be required to pay a deposit of 85€ against possible damage or loss of keys. The deposit will be refunded on departure provided that no damage or loss of keys has taken place.
8. Force Majeure Event
Choices International / Berlitz may cancel the reservation due to a Force Majeure Event which shall include circumstances beyond the control of Choices International / Berlitz, including but not limited to: war, threat of war, political crisis, civil commotion or strife, terrorist activity, strike or industrial action, natural disaster, fire and technical problems due to closure of airports or other transport problems making it impossible or unreasonable to travel. Physical injury of participant prior to date of attendance is not a force majeure event but one reason why we urge you to obtain insurance coverage. In such event, Choices International / Berlitz will refund all the monies paid by you or will propose another camp.
9. Amendment Charges
Any alterations to bookings must be confirmed in writing. Choices International / Berlitz reserves the right to charge a further administration charge of 60€. No changes will be allowed under any circumstances once the course has started.
10. Property Damages
Choices International / Berlitz will vehemently pursue any student damaging or defacing property while at the Camp and strong action will be taken against such students. Payments will be sought in full from any such student (or responsible parents) BEFORE departure to repair such damage. Participants must keep their room tidy, clean and in the same condition as it was when they arrived at the camp. Choices International / Berlitz reserves the right to expel any student from its centers if there is willful damage to property, theft of property or act of vandalism.
11. Complaints
Any complaints against any aspect of the services provided by Choices International / Berlitz should be addressed in the first instance to the local representative on site. In the event that the matter is not resolved, the client or his agent should make an immediate complaint in writing to our head office. Such complaints will be investigated by the company. Complaints should be received within one month of the termination of the course, and all fees and costs associated with the booking settled in full as laid in the details here stated.
12. Airport Transfers
For a charge we provide a ‘meet and greet’ service at the airport and transportation to the centre. We will meet students in arrivals and wait with them for other students arriving at a similar time. At the airport all Choices International / Berlitz staff will be identified and carry a large Choices International / Berlitz sign. Students could also be met by our authorised driver.
13. Unaccompanied Minors
There will be a charge of 50€ for students travelling as an unaccompanied minor (UM). This service guarantee that Choices International / Berlitz named person will wait with the student until airline staff takes him/her to the aircraft.
14. Disclaimer
Arrangements and courses outlined in Choices International / Berlitz publicity materials are given in good faith. However, courses, activities and timetables may be subject to change for reasons of safety, or in the event of unsuitable weather conditions or other factors, which may arise beyond our control. Choices International / Berlitz reserves the right to change the particularities of courses, including changes to courses, venues, facilities or dates of programmes where circumstances beyond our control necessitate such changes or where the level of bookings received does not exceed the minimum number required to operate a course viably. In this event we shall either provide comparable services or refund such part of that service which relates to the change. In either case, Choices International / Berlitz’s liability shall cease and clients shall have no other or further claim against us. It is automatically assumed that pictures taken of students participating in activities or lessons can be used in future brochures and advertising material.
Choices International / Berlitz reserve the right, by giving notice to clients at any time before the start date, to increase the price of the services being provided to reflect any increase in costs to our organizations, which is due to factors beyond our control, such as, without limitations, significant increases in accommodation costs, transport costs, labour costs etc. Choices International / Berlitz do not accept liability for personal injury or the death of any student unless caused by the proven negligence of our staff.
15. Promotional Video & Photography
Company brochures, website and other publicity materials are the responsibility of Choices International / Berlitz and the details are published in good faith as of September 2013. It is not issued on behalf of the schools or colleges therein.
For promotional purposes we will take photographs and videos during our courses or social activities which may be used in brochures or other publicity materials. Please advise at the time of booking if you do not wish to appear in any promotional material.
